Why version control matters for product documents

Essential checks that keep brochures, instructions and technical files matched to the right product, language and version.

One file may have several versions

A document may be republished after changes to technical content, contact details or language. A similar filename does not mean that the contents are identical.

Keep a minimum metadata set

Show product identity, document type, language, version or date, and publication status for every file. These fields help connect it to the right catalogue record.

  • Version or date
  • Publication status

Control superseded versions

Older files may be retained for audit purposes, but they must not be confused with the current publication. User-facing links should point to the latest approved version.
